JOB DESCRIPTION Job title: Head of College Building Operations: Chelsea, Camberwell and Wimbledon sites Accountable to: Director of College Administration Camberwell, Chelsea, Wimbledon Contract length: Permanent Hours per week: 35 Salary: £46,423 - £55,932 pa Service: CCW Grade: 6 Location: Camberwell, Chelsea and Wimbledon Colleges Weeks per year: 52 What is the purpose of the role? The role holder will work under the direction of the Director of College Administration and alongside the Associate Dean of Learning Environments to ensure operational effectiveness and strategic development of the Camberwell, Chelsea and Wimbledon College sites. They will operate at a high level to ensure College spaces and buildings are effectively managed, maintained and developed, always ensuring that the estate is used appropriately to support its primary purpose as places of teaching and learning, work, research and study. The post will also coordinate and provide an overview of the administrative functions associated with the buildings’ operations. This will include management of front of house, college reception areas. A key element of the role will be day-to-day liaison with facilities, health and safety, technical and central Estates role holders across all sites to ensure the smooth running of operations. The role holder will be the Designated Premises Supervisor for the buildings and a premises license holder. This post will demand frequent travel between the sites and may require flexible working including evening and weekends. Duties and Responsibilities To co-chair the Camberwell, Chelsea and Wimbledon Building User Group Meetings, taking responsibility for following up, tracking and reporting back on agreed actions that arise from the meetings. This will include working closely with central and college Estates teams to ensure defects and maintenance issues are reported and responded to effectively and in a timely manner. The role holder will also coordinate stakeholder engagement across all user groups to identify priorities and articulate these in the required detail in written briefs, rationales and business cases. To manage and develop a range of operational services on behalf of the Director of College Administration. These may include, but are not limited to, incident/risk management, disaster recovery and contingency planning, repositories of information and data relating to the CCW Estate and space profiles and usage. The role holder will also have oversight and undertake the management of front of house services, facilitating College security, access control and the processing of visitors to site. To provide effective leadership for a team of front of house receptionist, supporting them to provide first rate service. This will include recruitment, managing performance, collating service user feedback and making timely and well communicated changes and improvements. To be an advocate for CCW’s estates strategy and serve as the CCW liaison with University Senior Estates and Facilities Managers, taking the initiative to resolve urgent matters requiring decisions as required and leading the process of problem solving and negotiation between site users and Estates managers to achieve mutually workable resolutions. This includes being the active lead in site development projects, major and minor works, internal and external moves and the preparation of appropriate client liaison business cases, project initiation documents (PIDS), costings and documentation as required. To work with the Estates Programme Managers, UAL Health and Safety and a range of College teams to ensure Health and Safety requirements are fully understood and adhered to, and that College records, procedures and systems are in place to ensure compliance with statutory duties. To ensure that the College complies in all respects with relevant fire safety and equality legislation, Building Regulations, British Standards, Codes of Practice, etc., liaising with the CCW H&S Advisor to ensure that associated fire risk assessments are developed, actioned and maintained. To manage college office and meeting spaces in relation to agreeing and recording desk allocation, ensuring that there is appropriate technology and furniture and that the infrastructure is appropriate for new ways of working.
